How to Set Up Missed-Call Text-Back in Under 10 Minutes

Missed-call text-back is one of the simplest automations you can set up, and one of the highest-impact. The idea: when someone calls your business number and you can't pick up, they instantly get a text instead of just hearing it ring out. Here's how to set it up.

Step 1: Pick your trigger

In your automation builder, create a new workflow and set the trigger to "Missed Call" (or "Call Status = No Answer," depending on how your phone system labels it). This fires the moment a call to your business number goes unanswered.

Step 2: Add the text action

Add an SMS action immediately after the trigger. Keep the message short and human — something like: "Sorry we missed your call! What can we help with? — [Business Name]". Avoid anything that reads like a canned auto-reply; the goal is to keep the conversation going, not announce that a bot answered.

Step 3: Tag the contact

Add a second action to tag the contact as "missed-call-lead" (or similar). This lets you track how many leads are coming through this channel, and lets you build a follow-up sequence specifically for people who reach out by phone rather than by form.

Step 4: Route the reply

When the person texts back, make sure that conversation lands somewhere your team actually checks — your shared inbox, not a personal cell phone. If nobody's watching for replies, the automation only solves half the problem.

Step 5: Test it on yourself

Before turning it on for real, call your own business line from another phone, let it go to voicemail, and confirm the text actually arrives within a few seconds. Small timing or formatting issues are much better caught by you than by a real lead.
