5 Automated Follow-Up Sequences Every Service Business Should Have
It's tempting to think you need a huge library of automations to get real value from a CRM. In practice, a handful of well-built sequences cover almost every point where manual follow-up tends to fail. Here are the five worth building first.
1. New lead, no answer
Triggered when a new lead comes in but doesn't get reached on the first call attempt. This sequence keeps trying over several days across different channels (call, text, email) before the lead is marked as unresponsive — instead of one attempt and silence.
2. Booked appointment reminders
Triggered when an appointment is booked. Sends a confirmation immediately, a reminder a day before, and a reminder a couple of hours before. This is consistently one of the highest-ROI automations because it directly reduces no-shows with almost no ongoing effort.
3. No-show recovery
Triggered when a booked appointment is marked as a no-show. Reaches out same-day to reschedule while the intent that led them to book in the first place is still fresh, rather than waiting for them to re-initiate.
4. Post-job review request
Triggered when a job or deal is marked complete. Waits a day or two, then sends a review request — timed to when the experience is fresh but the customer isn't mid-task. This is the single easiest way to build review volume without manually asking every customer.
5. Lapsed customer reactivation
Triggered when a customer hasn't had any activity in a set window (say, 6 or 12 months, depending on your business). Reaches back out with a relevant reason to return, rather than customers simply drifting away without anyone noticing.
Start with one
If you're building your first automations, appointment reminders and post-job review requests tend to have the most immediately visible payoff — one reduces no-shows, the other builds your reputation, and both run with zero ongoing manual effort once they're set up.
